Travel Gossip Event Booking Conditions

These Booking Conditions apply to all Events organised and hosted by Travel Gossip Ltd (“Events”). They apply to all Events booked via the Travel Gossip website.

These Booking Conditions, together with our Privacy Policy and any other written information brought to your attention before we confirmed your booking, form the basis of your contract with Travel Gossip Ltd, a company registered in England and Wales with company number 08585949 and registered office at Unity Building, First Floor, 20 Chapel Street, Liverpool, England, L3 9AG (“we”, “us”, “our”).

Please read these Booking Conditions carefully as they set out our respective rights and obligations. References to “you” and “your” include the first named person on the booking and all persons on whose behalf a booking is made or to whom a booking is transferred.

1. Agreement to Booking Conditions

By registering for an Event, the person making the booking agrees on behalf of all registered persons that:

  • they have read these Booking Conditions and have the authority to and agree to be bound by them;
  • they have read and agree to be bound by the Travel Gossip website terms and conditions;
  • they consent to our use of personal data in accordance with our Privacy Policy and are authorised on behalf of all persons named within the booking to disclose their personal details to us, including where applicable special categories of data (such as health conditions, disabilities, and dietary requirements);
  • they are over 18 years of age and a resident of the United Kingdom;
  • they accept financial responsibility for the booking on behalf of all registered persons; and
  • they are currently working in the United Kingdom as a travel agent.

2. Eligibility

Our Events are for UK-based travel agents only. For the purposes of these Booking Conditions, a travel agent is a person currently employed or engaged in the sale or administration of travel products or services within the United Kingdom, including homeworkers and self-employed agents.

By registering for an Event, you confirm that you meet this eligibility requirement. We reserve the right to request proof of eligibility at any time. Failure to provide satisfactory proof may result in your booking being cancelled. We will provide you with a reasonable opportunity to supply such proof before taking any action.

3. Registering for an Event

A booking is made with us when you register for an Event via the Travel Gossip website and receive a booking confirmation from us. We reserve the right to decline to issue a booking confirmation at our absolute discretion.

All Events are subject to capacity limits. Where an Event has reached capacity, you may request to be added to a waitlist via the website. If a place becomes available, we will contact you by email to invite you to take that place. Receipt of a waitlist confirmation does not guarantee attendance.

If you believe that any details on your booking confirmation are incorrect, please contact us at [email protected] as soon as possible.

4. Attendance

As our Events are free to attend, by accepting a place you are making a commitment to attend. You are expected to attend the entire Event and not leave early unless this has been pre-agreed with Travel Gossip. We understand that personal emergencies arise and will of course use common sense if an Event overruns beyond its scheduled end time.

We will contact you by telephone approximately 24 hours before the Event to confirm your attendance. You must confirm or cancel your attendance at that point.

If, following confirmation, you are subsequently unable to attend, you must notify us as soon as possible by emailing [email protected] We will not seek any payment from you in respect of non-attendance.

However, if you fail to notify us and do not attend the Event (“Non-Attendance”), we reserve the right to place your account in an amber status. Attendees with amber status:

  • may not be guaranteed a place at future Events; and
  • will be ineligible to enter or win any online competitions run by Travel Gossip during the period that amber status applies.

We reserve the right to review and remove amber status at our discretion.

5. Transferring Your Place

You may request to transfer your Event booking to a colleague by emailing [email protected]. All transfer requests are subject to our approval. The proposed transferee must meet the eligibility requirements set out in these Booking Conditions, including being currently working as a travel agent in the United Kingdom. We reserve the right to decline any transfer request at our discretion.

6. Accuracy and Availability

We endeavour to ensure that all information about each Event, both on our website and in any advertising or promotional material, is accurate. However, changes and errors can occasionally occur and we reserve the right to correct details in such circumstances. You must check all details relating to the Event you wish to attend before registering.

We cannot guarantee the availability of any Event and we reserve the right to amend or withdraw an Event at any time.

7. If You Cancel Your Booking

If you wish to cancel your booking, please email us at [email protected] as soon as possible. Your cancellation will only take effect when received by us in writing and will be effective from the date we receive it.

As our Events are free to attend, no refund of any fee will be applicable. However, please note the attendance and non-attendance provisions set out in clause 4 above.

8. If We Change or Cancel Your Event Booking

We may in exceptional circumstances be required to change or cancel an Event. If we cancel or make a material change to an Event, we will notify all registered attendees as soon as reasonably practicable by email.

As our Events are free to attend, we regret that we are unable to meet any travel or other expenses or losses you may incur as a result of a change or cancellation on our part. We recommend that you hold appropriate insurance to cover any such costs (see clause 10).

In the event of cancellation due to circumstances beyond our control, please see clause 11.

9. Suppliers and Clients

Our Events are designed to provide an opportunity for travel agents to network with a range of travel industry suppliers and clients who will showcase their products and services at the Event. These suppliers and clients are independent of Travel Gossip and attend in their own right.

Travel Gossip acts as organiser of the Event only and does not act as agent or intermediary between you and any supplier or client. We accept no responsibility for any acts or omissions of suppliers or clients, or for any products or services provided by them. Any arrangements you enter into with suppliers or clients at an Event are made directly between you and them.

10. Insurance

We strongly recommend that all attendees hold appropriate insurance to cover Event cancellation, travel costs, and any personal loss or damage. Travel Gossip will not be liable for any losses in respect of which insurance cover would otherwise have been available.

11. Events Beyond Our Control

Except where otherwise expressly stated in these Booking Conditions, we will not be liable or pay you compensation if our obligations to you are affected by Events Beyond Our Control. For the purposes of these Booking Conditions, this means any event beyond our or our supplier’s control, the consequences of which could not have been avoided even if all reasonable measures had been taken.

Examples include warfare and acts of terrorism (and the threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease, global epidemics or pandemics (including the ongoing effects of Covid-19 or any new strain of coronavirus), natural disasters such as floods, earthquakes or severe weather conditions, the act of any government or other national or local authority, industrial dispute, labour strikes, nuclear or chemical disaster, fire, unavoidable technical problems with transport, and all similar events outside our or our suppliers’ control.

12. Photography, Filming and Marketing

Events may be photographed and/or filmed by or on behalf of Travel Gossip for use in our marketing and promotional materials, including on our website and social media channels. By registering for an Event, you acknowledge that you may appear in such photographs or footage and that these may be used by Travel Gossip for marketing purposes.

If you do not wish to be photographed or filmed, please notify us in advance by emailing [email protected]. We will use reasonable endeavours to accommodate your request, but please note that in a group event environment it may not always be possible to avoid incidental capture.

Your personal data will be handled in accordance with our Privacy Policy

Please note that your registration details will be shared with all participating suppliers for your chosen event in order for them to make contact. 

13. Your Behaviour

All Event attendees are expected to conduct themselves in an orderly and acceptable manner and not to disrupt the enjoyment of others. If, in our opinion or in the opinion of any manager, host, representative or other person in authority, your behaviour or that of any member of your party is causing or is likely to cause distress, danger or annoyance to any other attendees or third party, or damage to property, we reserve the right to terminate your booking immediately. In such circumstances, no refund will be applicable and you may be excluded from future Events at our discretion.

You and your party may also be required to pay for any loss or damage caused by your actions and we will hold you and each member of your party jointly and individually liable for any damage or losses caused.

We cannot be held responsible for the actions or behaviour of other attendees or individuals who have no connection with your booking or with us.

14. Special Requests

Any special requests (such as dietary requirements or accessibility needs) must be advised to us at the time of booking. We will pass your request to the relevant supplier or venue but cannot guarantee that it will be fulfilled. Confirmation of a special request does not constitute a guarantee of fulfilment.

15. Our Responsibilities

Nothing in these Booking Conditions shall operate to limit or exclude our liability for death or personal injury caused by our negligence, fraudulent misrepresentation, or any other liability which cannot be limited or excluded by law.

Subject to the above, we have a duty to select the suppliers and venues for our Events with reasonable skill and care. We have no liability to you for the actual provision of services, except where it is proved that we have breached that duty and loss or damage has resulted. Providing we have selected suppliers and venues with reasonable skill and care, we will have no liability for anything that happens during the provision of those services or for any acts or omissions of the supplier, its employees or agents.

We will not be responsible or pay compensation for any injury, illness, death, loss, damage, expense, cost or other claim if it results from:

  • the act(s) or omission(s) of the person(s) affected;
  • the act(s) or omission(s) of a third party unconnected with the provision of the Event and which were unforeseeable or unavoidable; or
  • unusual or unforeseeable circumstances beyond our or our suppliers’ control, the consequences of which could not have been avoided even with all due care.

We cannot accept any liability for damage, loss or expense which we could not have foreseen based on the information provided to us at the time of booking, or which relates to any business loss.

16. Complaints

We make every effort to ensure that our Events run smoothly. If you have a problem whilst attending an Event, please inform a Travel Gossip representative or the relevant supplier as soon as possible so that we have the opportunity to address it at the time.

If your complaint cannot be resolved at the Event, please contact us at [[email protected]](mailto:[email protected]). If you wish to make a formal written complaint, you must do so within 60 days of the Event, providing all relevant information. Failure to follow this procedure may affect our ability to investigate your complaint fully.

17. Law and Jurisdiction

These Booking Conditions are governed by English law. The courts of England and Wales shall have exclusive jurisdiction over any dispute, claim or other matter arising between us, save that attendees resident in Scotland or Northern Ireland may bring proceedings in their local courts under applicable law.
